How do I complete the invoice details?

When you upload a document, Doccle automatically recognizes the invoice details and fills them into the structured fields on the left-hand side of the screen. These structured fields, along with the PDF document, will be sent to your customer via the Peppol network.

Automatic recognition may include minor errors or may skip some fields. Fields requiring attention are marked with a red or orange icon. Make sure to review and, if necessary, complete all structured fields before sending your invoice via Peppol.

General Information

Document type
Select the type of document you want to send. You can choose between a standard invoice or a credit note, depending on your needs.

Invoice number
This mandatory field contains the unique reference number of your invoice.

Issue date
Enter the date the invoice was created. This field is required and cannot be a future date.

Due date
Fill in the deadline by which your customer must complete the payment.

Order number
This optional field should be filled in if an order number is present on the invoice or provided by the customer. It links the invoice to a specific order and is often mandatory for public sector clients.

Customer Data

Invoices sent via Peppol must be business-related. Your customer is therefore expected to be a company. If the recipient is a private individual, use the email functionality instead.

Starting in 2026, customers must be registered on the Peppol network by law. Doccle will automatically verify this during data entry. If the customer is not registered, you will be offered the option to send the invoice by email instead.

Reference
An optional field that may include a contact name, employee number, or internal code to help identify the person or department responsible. This reference is often used for internal routing by the recipient.

Company name
This is a required field and must contain the full legal name of the company being invoiced.

Company number
Enter your customer's Belgian CBE number. This is a 10-digit identifier assigned by the government, starting with a 0 or 1.

Address
Provide a complete Belgian address, including street name, number, optional box, postal code, and city.

Payment Details

My company
Select the company sending the invoice. It must be registered on the Peppol network. If it isn't, registration must be completed first.

Bank account number (IBAN)
Provide your company’s IBAN account number for receiving payments. Belgian IBANs start with “BE” and are followed by 14 digits (e.g., BE44 1234 1234 1234).

Payment reference
Specify the reference your customer must include when paying. This can be the invoice number or a structured reference, such as +++123/1234/12345+++. It’s crucial for matching payments to invoices.

Payment method
Indicate how your customer will pay the invoice. Common options include bank transfer, Bancontact payment, or cash.

Invoice Lines

Invoice lines contain essential details about the products or services delivered. Ensure all necessary lines are present. You can add or remove lines as needed.

Each line includes:

  • Description: a brief summary of the delivered item or service (e.g., football).

  • Quantity: how many units were sold (e.g., 2).

  • Unit price: the price per item, excluding VAT. Only euro values are accepted.

  • Total (excl. VAT): calculated automatically based on quantity and price.

  • VAT rate: select the applicable rate: 0%, 6%, 12%, or 21%.

  • VAT category: only required for 0% VAT rates. Options include:

    • Reverse charge

    • Exempt from VAT

    • Not subject to VAT

    • Zero rated goods

    • Intra-community supply

    • Export outside the EU

Note

Use this optional field to provide additional information to your customer, such as specific payment terms or comments.

Totals

Invoice totals are calculated automatically based on the invoice lines. If the numbers do not match what you expect, double-check the entered lines and their amounts.
